How to Read a Certificate of Analysis for Bulk Ingredients
A certificate of analysis is the single most important document that travels with a bulk ingredient, and it is routinely filed without being read. That is understandable — most certificates are dense, inconsistently formatted between suppliers, and appear to say the same thing every time. But a certificate is not a formality or a marketing document. It is a record of what a laboratory measured on one specific lot of material, and it is the primary evidence a buyer holds if that lot is ever questioned.
This is a section-by-section guide to reading one, and to knowing when the certificate in your hand is not the certificate you need.
What a COA Is, and What It Is Not
A certificate of analysis reports actual test results for an identified batch. Three other documents are frequently mistaken for it.
A specification sheet states the limits a product must meet. It describes the rules, not the outcome, and contains no results at all. A typical analysis shows representative values for a product in general; it carries no lot number and reports no measurement from your material. A safety data sheet addresses hazard communication and handling, and is not a quality document in this sense. All three are legitimate and useful. None of them is a certificate of analysis, and accepting one in place of a certificate leaves you with no lot-specific evidence whatsoever.
The quickest test is to look for a batch number and a set of numerical results. If either is missing, you are holding something else.
The Header: Identity and Lot
The top of the certificate should establish exactly what the document describes: product name, grade, batch or lot number, and usually a quantity and a manufacturing date. This section is where most receiving errors are caught, because it is where the document either does or does not match the material on the dock.
Confirm the product name and grade are the ones you ordered, not merely similar. Then confirm the batch number — which matters enough to deserve its own discussion below.
Identity and Assay
Identity testing answers whether the material is what it claims to be, usually through a spectroscopic or chemical comparison against a reference. Assay answers how much of it is there, typically as a percentage determined by titration or chromatography.
Read the assay together with its basis. A result reported on a dried or anhydrous basis has had moisture mathematically removed, and it will read higher than the same material reported as-is. When a formulation calculation depends on the assay, that basis is not a detail.
Physical and Organoleptic Specifications
This section covers appearance, colour, odour, particle size or mesh, bulk and tapped density, loss on drying, moisture, pH of a prepared solution, and solubility, depending on the material. These entries are easy to skim past and are often the most operationally relevant lines on the page, because they predict how the powder will behave in a blender, a filler or a press.
Appearance in particular is worth reading rather than glancing at. When the certificate describes a white powder and the drum contains something visibly off-colour, that discrepancy is the finding, and it should stop the receipt rather than start a debate.
Heavy Metals
The heavy metals panel usually reports lead, arsenic, cadmium and mercury, and sometimes a broader elemental screen. Each entry should carry three pieces of information: the result, the limit it is judged against, and the method used.
Results expressed as “less than” a value are reporting a detection limit rather than a measurement, which is normal and expected. What matters is where that limit sits. A less sensitive method produces a higher “less than” value and therefore a weaker assurance from identical material, so a certificate that omits methods is harder to evaluate than one that looks less impressive but states them.
Microbiology
Microbiological testing typically includes a total aerobic count and a yeast and mould count, along with specific organism screens such as E. coli and Salmonella. As elsewhere, read the limit alongside the result, and confirm the panel matches what your own specification requires. Not every ingredient is tested to the same microbiological standard, and the absence of a test is not the same as a passing result.
Dates, and the Difference Between Them
Certificates commonly carry several dates, and they mean different things. The manufacturing date is when the lot was produced. The date of analysis is when the reported testing was performed. A retest date indicates when material should be re-evaluated before further use, whereas an expiry or best-before date asserts a defined end of usable life. A retest date is not a discard date, and treating one as the other either wastes serviceable material or extends the use of material nobody has re-examined.
Matching the Certificate to the Material
A certificate that does not demonstrably belong to the drums in front of you provides no assurance, however clean its results are. The batch number is the connecting thread, and at receipt it should be confirmed in four places:
- The certificate itself.
- The container label on each drum, bag or pail — not just the first one opened.
- The packing list accompanying the shipment.
- Your own goods-receipt record, so the lot carries forward into production.
Where a shipment contains several lots of the same product, each lot needs its own certificate. A single certificate covering a mixed-lot delivery is a documentation gap, and it is far easier to resolve on the day of receipt than during an investigation.
What “Tested Per Lot” Actually Means
Per-lot testing means the results on the page were generated from material drawn from that batch, rather than inherited from a previous production run or reproduced from a standing template. It is the difference between evidence about your material and a general statement about the product line.
One practical way to sense-check this is to compare certificates across several lots of the same item. Genuine per-lot results vary slightly, because measurements do. A series of certificates showing identical figures for every test across every lot is worth a conversation with the supplier.
When to Ask for the Current Lot’s Certificate
Ask at three distinct points. At quotation, a recent or typical certificate is reasonable for evaluating whether a material fits at all. Before or at shipment, ask for the certificate belonging to the lot being allocated to you, which is the one that should be reviewed while you can still decline it. At receipt, confirm the certificate matches the containers delivered.
Ask again on every reorder. A new order generally means a new lot, and a new lot means a new certificate. A certificate retained from a previous purchase describes material that has already been consumed.
